A transition period should be anticipated. During this time, Proposer uses a checklist that details the steps and timing of transition activities, including vendor and contract research, communication and staffing. The following checklist includes, but is not limited to, the areas that will be addressed during the transition period. Our transition efforts will result in a seamless conversion that does not disrupt the activities of the business and staff.

Transition Steps

  • Set up meeting for introduction and access purposes.
  • Conduct property inspection; inspect and list equipment.
  • Onboarding of new staff as needed.
  • Create emergency contact lists for Landlord, Vendors and Onsite Staff.
  • Arrange after-hours phone answering service.
  • Send transition notice letters to Vendors.
  • Set up project, personnel and operations systems, as applicable.
  • Establish building binder for property to be kept on site and electronically for referencing purposes.
    • Preventative maintenance logs on necessary equipment
    • Third Party Contracts
    • Vendor contact sheet
    • Property specific and related information including inspection sheets
    • Warranty information
  • Obtain floor plans if available and building control locations.
  • Review preventative maintenance program.
  • Review Current Vendor Insurance Program and make it current.
  • Begin to develop a maintenance budget and capital plan with the help from Client.
